Food Truck Vendor Event Request Form
This form will need to be filled out and sent to the Sanitarian’s Office at least 14 work days prior to an event where a truck will be brought in to serve food to your Department. In general, trucks cannot be brought in to sell food to the University Public or General Public except for special campus wide events or occasions approved by the Sanitarian’s Office and Senior University officials (see note below). You can bring in a food truck for your department where there is no money exchanged from the customer to the vendor. Payment must come from the Department in a pre-arranged agreement on cost with the truck vendor. The food truck vendor you would like to use must be on the Sanitarian's Office Approved Food Truck List that is posted on our web site. Special exceptions to using this list can be made (see note below).
Please note:
- Only for very specific religious or ehtnic needs will a vendor be allowed that is not on the list. The cost paid by the sponsoring Department of obtaining this approval is higher due to the additional work required of the Sanitarian's Office in a short amount of time when compared to a vendor who has already gone through the approval process.
- A food truck cannot be brought in by a Department or Student Group to sell food to the general public unless it is part of a larger community event such as Yellow Jacket Day or Dandelion Day.
The Medical Center, River Campus and Eastman have specific policies, guidelines and requirements, including designated parking locations and number allowed for the use of food trucks at each location. Please refer to http://rochester.edu/college/wcsa/events/resources/food-trucks.html for the specific guidelines that Student Organizations need to follow. Other campus locations may also have specific policies. Please refer to those pertinent documents when making plans to hold an event involving food trucks before filling out any forms sent to the Sanitarian's Office.
The Approval Processing fee is $30.00. The fee is $50.00 for using a vendor not already on the food truck vendor list. There is a $10 late fee if application is submitted less than 10 days prior to the event. Failure to pay for the approval and/or failure to acquire the permit itself, will disqualify that department or organization from being allowed to have the Food Truck Vendor on site until the approval fee is paid for and official approval is obtained by that department or organization.
